Maintaining Multiple GroupWise 7 Archives
Note: the terms "folder" and "directory" are used interchangeably in this document
Why? Possibly to...
- Organize email by year, starting a new archive at the beginning of each year
- Maintain separate personal and work archives
- Save or maintain an archive on removable media
Issues...
- Changing to a different archive directory can only be done via Tools >
Options > Environment > File Location (tab) > Archive directory
- Users should have a good basic understanding of directory structures and
their default OS directory structure
- As with any Archive, it is the user's responsiblity to maintain the
the Archive's integrity and backups.
- Also...as with any Archive, you cannot access GroupWise Archives via WebAccess.
Preliminary: Your First Archive (for users who haven't established their first Archive yet)
- Macintosh users:
- Click Tools > Options or In Macintosh, click GroupWise > Preferences
- Click General.
- Specify the location of your archive directory in the Archive Directory text box.
- Click OK

Multiple Archives
Additional Archives, while not limited to the same hard disk location as above
or even limited to media type (ie. USB drive, network storage, CD (read-only)...)
are created with the same process described above. The only difference is, after
you've created a new directory, you will be asked if you want to move the mail
from your old Archive to the new. If you're creating a new Archive and wish to keep
it seperate from old Archives do not move the old Archive's contents into it.
A Yearly Archive Senario...
As described above I have a folder in My Documents named
GWArchive. I've decided I would like to start a new one for 2007. My first logical
order of business is to rename GWArchive so it will reflect a naming convention
that I can use year after year. This is of course optional and done only for
organizational purposes:
Archive Rename Option #1
You can rename your existing Archive directory
to whatever you like through Explorer or My Computer. I will browse
through Explorer or My Computer to C:\Documents and Settings\yourusername\Desktop\My
Documents and rename the GWArchive folder to GWArchive_2006.
Since I've renamed my GWArchive directory the GroupWise
client application will not be able to find my renamed archive directory
until I go into my GroupWise client and click Tools > Options. Double-click
Environment. Click the File Location tab.
Click the folder icon next to the Archive Directory and point it to the renamed GWArchive_2006
directory.
Archive Rename Option #2
In this option you will create a new Archive and move the contents from one
that already exists into the new one. To do this you'll need to open
the GroupWise client and click Tools > Options. Double-click
Environment. Click the File Location tab.
Click the folder icon next to the Archive Directory field and browse to
"My Documents" (see path above) Hilight "My Documents" click Make New Folder
and name it, I'll name this one GWArchive_2007, click Ok.
When asked "Do you want to move the contents of your existing Archive?" click Yes.
Creating a new Archive Directory for 2007...
To create a new Archive Directory and begin using it you'll need to open
the GroupWise client and click Tools > Options. Double-click
Environment. Click the File Location tab.
Click the folder icon next to the Archive Directory field and browse to
"My Documents" (see path above) Hilight "My Documents" click Make New Folder
and name it, I'll name it GWArchive_2007, click Ok.
When asked "Do you want to move the contents of your existing Archive?" click No.
Switching between Archive directories
To switch between archives you'll need to open the GroupWise client and
click Tools > Options. Double-click Environment.
Click the File Location tab > and in the "Archive directory"
select the archive directory of interest. If all your archive
directories are under "My Documents" then you simply need to click on the browse
button (folder icon to right) and select the archive directory you wish to work with.
